4. PERSONAL SAFETY AND VIGILANCE

4.1. BE VIGILANT AND STAY ALERT AT ALL TIMES. Attendees must remain aware of their surroundings, keep personal belongings secure and report suspicious conduct or safety hazards immediately.

4.2. Do not leave personal belongings unattended or accept packages from unknown persons.

4.5. Report injuries, medical emergencies, suspicious packages, fights, fires or other hazards to the nearest security officer or event official immediately.

4.6. Security personnel will be deployed in accordance with event arrangements. Their presence does not guarantee that every criminal act, injury, loss or incident can be prevented.

5. THEFT, LOST PROPERTY AND PERSONAL BELONGINGS

5.1. Attendees are responsible for safeguarding their money, phones, handbags, jewellery, cameras, electronic devices and other personal belongings.

5.2. ERSF does not guarantee against theft, loss or disappearance of personal property. Any liability will be determined in accordance with applicable law and the circumstances of the incident.

  1. Hand items to security: Anyone who finds lost property must hand it to an authorised security officer as soon as possible.

  2. Photograph the handover: Where practicable and with the officer's cooperation, take a photograph showing the recovered item alongside the security officer's identification card displayed on their uniform or vest.

  3. Report the handover: Send the photograph via WhatsApp to 064 831 3108, together with a description of the item and the approximate location where it was found.

  4. Secure storage: All recovered items will be kept by the designated security team in the event's Lost and Found holding area. Security personnel must be able to direct attendees to the designated storage point.

  5. Enquiries: Anyone who has lost an item may send a WhatsApp message to 064 831 3108, providing a description of the item, the approximate time and location where it was last seen, and their contact details.

  6. Collection and verification: Items will be released after reasonable verification of ownership. Claimants may be required to describe distinguishing features or provide other evidence that the property belongs to them.

  7. Unclaimed property: Unclaimed items will be handled in accordance with ERSF's lost-property procedures and applicable law.

Important: Do not publicly share photographs containing bank card details, identity numbers, addresses or other sensitive personal information.

6. PERSONAL INJURY, MEDICAL EMERGENCIES AND LOSS OF LIFE

6.1. Attendance at a public event involves risks associated with crowds, movement, weather, uneven ground, noise, temporary installations and other event-related activities.

6.2. Attendees must exercise reasonable care, follow safety instructions and avoid reckless behaviour that could cause injury to themselves or others.

6.3. ERSF will make reasonable provision for event safety and emergency arrangements in accordance with applicable requirements.

6.4. Attendees must immediately report injuries, dangerous conditions or medical emergencies to event personnel.

6.5. ERSF does not guarantee that accidents, injuries, medical emergencies or criminal incidents will never occur.

6.6. Nothing in these terms excludes or limits liability for death, personal injury, gross negligence or any other liability that cannot lawfully be excluded. Any claim will be assessed under applicable law and the facts of the incident.

7. LIABILITY FOR LOSS, DAMAGE AND THIRD-PARTY CONDUCT

7.1. Attendees are responsible for their own conduct, personal belongings and property brought onto the premises.

7.2. ERSF shall not be liable for loss, theft, damage, injury or other harm merely because it occurs during the event or on the premises. Liability will depend on applicable law, the facts and any legally enforceable limitation of liability.

7.3. To the extent permitted by law, ERSF is not responsible for independent criminal acts, theft, vandalism, misconduct or negligence by other attendees or unrelated third parties where ERSF did not cause the incident and is not legally responsible for it.

7.4. Nothing in these terms removes a legal duty ERSF owes to attendees or excludes liability where the law prohibits such an exclusion.

7.5. Attendees who cause damage to the venue, equipment, infrastructure, vehicles or another person's property may be held responsible for proven losses to the extent permitted by law.

8. PARKING POLICY

8.1. Parking is available at R50 per vehicle, subject to available space and on a first-come, first-served basis.

8.2. Payment does not guarantee a reserved parking bay. Vehicles will not be admitted once parking capacity has been reached.

8.3. NO PASS-OUTS APPLY. Once a vehicle exits the parking area, re-entry is not guaranteed and remains subject to applicable parking arrangements and available space.

8.4. Security personnel will be deployed to monitor the parking area. Drivers remain responsible for locking their vehicles, closing all windows and securing their belongings.

8.5. Keep valuables out of sight, preferably locked in the boot. This includes power banks, sunglasses, lighters, mobile phones, handbags, cash and electronic devices.

8.6. Vehicles are parked at the owner's risk. ERSF does not guarantee against theft, attempted theft, vandalism, accidental damage or other incidents. Any liability will be determined in accordance with applicable law.

9. STRICT NO-SMOKING POLICY IN THE PARKING AREA

9.1. SMOKING IS STRICTLY PROHIBITED IN THE DESIGNATED PARKING AREA.

9.2. A discarded cigarette, burning ember or other ignition source could ignite nearby vehicles, endanger lives, cause extensive property damage and jeopardise the continuation of the event.

9.3. A R2,000 penalty will apply to persons found smoking in the designated parking area, subject to the penalty being lawfully authorised and enforceable.

9.4. OFFENDERS WILL BE REMOVED FROM THE VENUE, subject to applicable law and appropriate safety procedures.

9.5. This rule applies to drivers, passengers, attendees, staff, contractors and service providers.

9.6. Security personnel may intervene, document violations and take appropriate action in accordance with applicable law. A vehicle will not be clamped or detained solely to enforce payment of a penalty unless expressly authorised by law.

10. PROHIBITED CONDUCT, PERMITTED ITEMS AND RESTRICTED ITEMS

10.1. Prohibited Conduct

Fighting, threats, harassment, insults, intimidation, assault, vandalism, theft, disorderly conduct and other unlawful activities are prohibited.

Weapons, explosives, fireworks and other dangerous items are prohibited unless expressly authorised by law and the event's safety arrangements.

Illegal substances, the misuse of substances and conduct that endangers others are prohibited.

Attendees must not interfere with security operations, emergency equipment, barriers, fencing, electrical installations or event infrastructure.

Persons who breach these rules may be refused entry or removed from the venue. Serious incidents may be reported to the relevant authorities.

10.2. Permitted Items

The following items may be brought into the event, subject to security screening, available space and compliance with venue safety rules:

  • Camp chairs for personal seating.

  • Gazebos for personal shade, subject to available space and approval by event management or security.

  • Empty cooler boxes, subject to inspection at the entrance.

  • Picnic blankets for personal use in designated areas.

Gazebos must not obstruct walkways, emergency exits, access routes, emergency equipment or other attendees' safe movement. Event management may direct attendees to reposition or remove a gazebo where necessary for safety or operational reasons.

All permitted items remain subject to inspection by authorised security personnel. ERSF reserves the right to restrict or refuse items that present a safety risk or conflict with event operations.

Permission to bring an empty cooler box does not automatically permit prohibited contents. All food, beverages, alcohol and other items remain subject to the event's published admission rules.

Attendees must remove their belongings when leaving the venue and must not leave items unattended.

10.3. Smoking and Hookah Pipes

Smoking is prohibited in designated no-smoking areas, including the designated parking area. All fire-safety instructions must be followed.

Hookah pipes are permitted subject to the applicable R150 fee and may be used only in designated smoking areas, subject to applicable law and event safety requirements.

10.4. Fire and Ignition Sources

Unauthorised fires, open flames, gas equipment, cooking equipment and other ignition sources are prohibited in restricted areas.

11. FOOD, BEVERAGES AND VENDORS

11.1. Food and beverages may be sold by authorised vendors operating within the event's approved arrangements.

11.2. Attendees must comply with published restrictions on outside food, beverages, cooler boxes, glass containers and alcohol.

11.3. Only authorised vendors may trade on the premises. Unauthorised vending, selling or distribution of products is prohibited.

11.4. Attendees should exercise reasonable care when purchasing and consuming food and beverages and report suspected contamination or food-safety concerns promptly.

11.5. Vendors remain responsible for complying with applicable food-safety, trading, fire-safety and licensing requirements.

12. CHILDREN, SUPERVISION AND LOST CHILDREN

12.1. Parents and legal guardians are responsible for supervising children in their care throughout the event.

12.2. Children must not be left unattended, including in vehicles, near stages, around electrical equipment, in parking areas or in crowded spaces.

12.3. Parents and guardians should agree on a meeting point with children upon arrival and explain how to identify an authorised security officer if they become separated.

12.4. Lost or separated children must be reported immediately to security personnel or an authorised event official.

12.5. Admission and age restrictions, including any applicable ticket requirements, must be followed as advertised.

12.6. Child Safety Identification Tags

For children's safety, parents and guardians are strongly encouraged to ensure that every child wears a clearly completed identification tag throughout the event.

Each tag must contain:

  • The child's full name and surname.

  • The parent's or legal guardian's full name and surname.

  • Two valid contact telephone numbers for the parent, guardian or responsible caregiver.

Parents and guardians must ensure that all details are accurate, legible and up to date.

12.7. Lost Child Response Procedure

  1. Any child who becomes separated from their parent or guardian must be taken to the nearest security officer or authorised event official.

  2. A parent or guardian who discovers that a child is missing must immediately notify the nearest security officer or event official.

  3. Security personnel and event officials will coordinate efforts to identify and reunite the child with their parent or legal guardian.

  4. A general announcement may be made over the stage public-address system to help locate the parent or guardian. Announcements will be limited to the information reasonably necessary to reunite the child with their caregiver.

  5. The identity and authority of the collecting adult must be reasonably verified before the child is released.

  6. If a parent or guardian cannot be located promptly, or if there are concerns about the child's safety, the matter will be escalated to event management or the appropriate authorities.

  7. Children must never be left unattended. Identification tags assist with reunification but do not replace parental supervision.

Our priority is to keep children safe and reunite families quickly and responsibly.

13. WEATHER, PROGRAMME CHANGES AND EMERGENCIES

13.1. Outdoor events may be affected by rain, lightning, strong winds, extreme temperatures, unsafe ground conditions or other environmental factors.

13.2. The organiser may delay, suspend, relocate activities within the venue, restrict access or stop the event where reasonably necessary for safety, legal compliance or operational reasons.

13.3. Attendees must comply immediately with evacuation instructions, emergency announcements and directions from authorised personnel.

13.4. No attendee may obstruct emergency exits, access routes, ambulance routes, fire equipment or designated assembly areas.

13.5. In an emergency, remain calm, avoid spreading unverified information and follow instructions from security, medical personnel and emergency responders.

13.6. Refunds or other remedies arising from cancellation, postponement or material changes will be determined in accordance with applicable law and the published ticketing terms.

14. PHOTOGRAPHY, VIDEO AND RECORDING

14.1. Photography and video recording may take place at the event for security, operational, promotional or documentary purposes.

14.2. Attendees should be aware that they may appear incidentally in crowd footage or general event photographs.

14.3. ERSF will handle personal information and identifiable recordings in accordance with applicable privacy and data-protection laws. Any required consent or additional notice for specific uses will be obtained or provided as required by law.

14.4. Attendees must respect the privacy and safety of others when taking or sharing photographs and recordings.

15. VENUE ACCESS AND REMOVAL

15.1. Only authorised persons may enter restricted operational areas, backstage areas, technical installations, emergency routes and designated staff areas.

15.2. Attendees must comply with lawful directions from event management and authorised security personnel.

15.3. ERSF may refuse admission or remove a person for serious or repeated breaches of these terms, unlawful conduct, threats to safety or disruption of the event, subject to applicable law.

15.4. Removal from the venue does not automatically entitle an attendee to a refund. Any refund entitlement will be assessed under the applicable ticket terms and law.

16. COMPLAINTS AND INCIDENT REPORTING

16.1. Complaints, incidents, suspected criminal activity, injuries and safety concerns should be reported to an authorised event official as soon as possible.

16.2. Attendees should provide accurate information and cooperate with reasonable incident-reporting procedures.

16.3. Reporting an incident to event staff does not replace contacting emergency services or the police where necessary.

16.4. ERSF may record incident details for safety management, insurance, investigation and legal compliance, subject to applicable privacy requirements.

16.5. For lost-property enquiries and handover photographs, attendees may contact 064 831 3108 via WhatsApp.

17. ACCEPTANCE OF TERMS AND CONDITIONS

17.1. These terms apply to event attendees and users of the venue's parking facilities, subject to applicable law.

17.2. Attendees are encouraged to read these terms before purchasing tickets or entering the premises.

17.3. Where a term limits liability or identifies a serious risk, ERSF will take reasonable steps to bring that term or risk to the attendee's attention before entry, as required by law.

17.4. If any provision is found to be invalid or unenforceable, the remaining provisions will continue to apply to the extent permitted by law.

17.5. These terms do not override applicable legislation, statutory consumer rights, lawful emergency directions or other binding legal requirements.
